1. Introduction

These Terms and Conditions (“Agreement”) govern the provision of concierge and lifestyle management services by Luxury Private Concierge (“we”, “us”, “our”) to the client (“you”, “your”).

By proceeding with a booking and making payment, you confirm that you have read, understood, and agree to be legally bound by this Agreement.

2. Booking & Acceptance

All clients will be directed to these Terms and Conditions prior to confirming a booking.

A booking is considered confirmed and legally binding once a deposit or any payment is received.

By making a booking, the person completing the booking confirms that they:

  • Are over 18 years of age

  • Have authority to act on behalf of all persons included in the booking

  • Accept full financial responsibility for the booking

  • Consent to the use of personal data where required to fulfil services

By making payment, you:

  • Accept these Terms in full

  • Authorise us to act on your behalf

  • Acknowledge that cancellation and payment terms apply

3. Commencement of Agreement

This Agreement commences on the date of booking confirmation and becomes legally binding upon receipt of payment.

It continues until completion of services unless terminated earlier in accordance with these Terms.

Nothing in this Agreement creates a relationship of employment, partnership, or joint venture between you and Luxury Private Concierge.

4. Scope of Services

Luxury Private Concierge provides bespoke, high-end concierge and lifestyle management services.

All services are provided on a best-efforts basis, subject to availability and reliance on third-party providers.

We reserve the right to decline or withdraw from any request at our discretion.

5. Third-Party Services

We act as an intermediary between you and third-party providers.

  • We do not own, operate, or control third-party services

  • Any contract is formed directly between you and the provider

  • We are not responsible for performance, quality, safety, or delivery

You agree to comply with all third-party terms and conditions.

6. No Guarantee of Availability or Access

While we leverage our network and expertise to secure preferred bookings and access, we do not guarantee availability.

7. Assumption of Risk

By engaging our services, you acknowledge that:

  • All arrangements and activities are undertaken at your own risk

  • You are responsible for assessing suitability and safety

  • We do not guarantee outcomes or satisfaction

8. Client Responsibilities

You agree to:

  • Provide accurate, complete, and timely information

  • Review all confirmations and booking details carefully

  • Comply with all applicable laws and third-party terms

  • Obtain appropriate insurance where required

You are also responsible for ensuring that any relevant venue or environment:

  • Is safe and suitable

  • Meets operational requirements communicated in advance

We are not responsible for issues arising from incorrect information provided by you.\

Insurance & Supplier Due Diligence

You are strongly advised to obtain appropriate insurance cover relevant to your booking, including but not limited to:

  • Travel insurance

  • Event insurance

  • Personal liability insurance

  • Coverage for cancellations, loss, damage, injury, or unforeseen circumstances

Luxury Private Concierge maintains appropriate business and public liability insurance in connection with the services we provide.

While we make reasonable efforts to work with reputable and professional third-party providers, we do not guarantee, warrant, or independently verify the insurance status, coverage, licensing, or suitability of any supplier.

You acknowledge and agree that:

  • It is your sole responsibility to carry out your own due diligence in respect of any third-party provider

  • You are responsible for ensuring that any supplier meets your personal requirements, including adequate insurance coverage

  • Any reliance on third-party services is undertaken at your own risk

Luxury Private Concierge accepts no liability for any loss, damage, injury, delay, or claim arising from:

  • The acts or omissions of third-party providers

  • Insufficient or absent insurance coverage

  • Your failure to carry out appropriate checks or obtain adequate insurance

You acknowledge that failure to obtain appropriate insurance is undertaken entirely at your own risk.

Notwithstanding the above, we are committed to delivering a high standard of service and will use reasonable efforts to assist in resolving any issues that may arise during the course of your engagement with us.

9. Payments & Fees

  • A deposit or full payment is required to initiate services

  • Bookings are not secured until cleared funds are received

  • Short-notice bookings may require full payment upfront

Additional Costs

You agree to cover all associated costs, including:

  • Third-party services

  • Travel, accommodation, and expenses

  • Specialist staffing or subcontractors

  • Equipment or access requirements

  • Overtime or extended service

Prices may vary depending on availability and changes to your request.

 

Late Payments

Late payments may result in service suspension and may incur additional charges or interest.

10. Priority & Urgent Requests

Requests requiring expedited handling, out-of-hours service, or immediate turnaround may incur priority service fees.

This includes evenings, weekends, public holidays, and last-minute requests.

11. Cancellations & Refunds

  • Cancellation terms vary depending on the service and third-party provider

  • Some deposits are non-refundable (refer to email correspondence)

  • Booking fees are non-refundable once work has commenced

  • Refunds are subject to third-party policies and are not guaranteed

We may offer rescheduling at our discretion.

12. No Chargebacks / Payment Disputes

By making payment, you agree not to initiate chargebacks or payment disputes without first contacting us.

Unjustified disputes constitute a breach of this Agreement, and we reserve the right to:

  • Recover all associated costs

  • Suspend or terminate services

  • Take legal action where necessary

13. Subcontractors & Supplier Engagement

We may engage third-party providers or subcontractors.

  • They operate independently

  • We are not liable for their acts or omissions

  • We may substitute providers with alternatives of equal standard where required

14. Non-Circumvention

You agree not to directly engage or solicit any supplier or subcontractor introduced by Luxury Private Concierge for 24 months without written consent.

15. Complaints

Any dissatisfaction must be submitted in writing within 14 days of service delivery.

We will review and respond at our discretion.

16. Limitation of Liability

To the fullest extent permitted by law, we are not liable for:

  • Loss, damage, or expense (direct or indirect)

  • Delays, cancellations, or disruptions

  • Personal injury or incidents

  • Errors made in good faith

Our total liability is limited to the fees paid directly to us.

17. Exclusions

Nothing excludes liability for:

  • Death or personal injury caused by negligence

  • Fraud or fraudulent misrepresentation

  • Any non-excludable liability under UK law

18. Indemnity

You agree to indemnify and hold harmless Luxury Private Concierge from any claims arising from:

  • Your use of services

  • Breach of this Agreement

  • Third-party interactions

19. Force Majeure

We are not liable for delays or failure due to events beyond our control, including:

  • Natural disasters

  • Government restrictions

  • Transport disruption

  • Supplier failure

  • Illness or emergencies

20. Privacy & VIP Confidentiality

We operate with the highest level of discretion.

  • Client information is strictly confidential

  • Data is handled in accordance with UK law

  • Information is only shared where necessary to deliver services

Confidentiality obligations continue indefinitely.

21. Our Right to Cancel

We reserve the right to cancel services in exceptional circumstances.

Where applicable:

  • A refund for unfulfilled services will be provided

  • A suitable alternative may be offered

22. Governing Law

This Agreement is governed by the laws of England and Wales.

23. Acceptance

By making a booking and payment, you confirm that:

  • You have read and understood these Terms

  • You agree to be legally bound

  • Payment constitutes full acceptance of this Agreement
